Who we are
Maxim Aegis LLC is a Virginia-licensed insurance agency serving Northern Virginia. This notice describes how we collect, use, and share information when you contact us about insurance or become a customer.
When we provide this notice
- Website visitors and inquirers: This page is our privacy notice for online quote requests and other website contact.
- Customers: When you apply for or we place insurance for you, we also provide this privacy notice (or a substantially similar notice) as part of application, bind, or policy onboarding — for example by email or with policy documents — so you receive it when a customer relationship is established.
Information we collect
When you submit our contact form or communicate with us, we may collect:
- Contact information (name, email, phone) and details about your insurance needs
- Information about your insurance needs and risk profile
- Correspondence and inquiry history
Insurance inquiries may involve nonpublic personal information (NPI) as defined under the Gramm-Leach-Bliley Act (GLBA). Please do not submit Social Security numbers or full financial account numbers through the website form.
How we use information
- Respond to your inquiry and obtain insurance quotes
- Place and service insurance policies
- Assist with claims reporting
- Comply with legal and regulatory obligations
How we share information
We do not sell your personal information. We may share information with:
- Insurance companies and underwriting organizations to obtain quotes and place coverage
- Managing general agents (MGAs) and wholesalers for specialty placements
- Service providers that help us operate our business (e.g., form processing via Formspree), limited to purposes that support our services to you
- Regulators, courts, or law enforcement when required by law
Form processing
Form submissions may be processed by Formspree, a service provider that transmits the information you submit to our designated agency inbox so we can respond. We use Formspree to receive inquiries only; we do not use it to sell your information or for third-party marketing. See Formspree’s privacy policy for how it processes data as a service provider. Access to Formspree submissions is limited to agency personnel who need it to respond to inquiries.
Data retention
We retain inquiry and policy-related data as long as needed to provide service, meet legal obligations, and resolve disputes, then delete or anonymize where permitted.
Safeguards
We use administrative, technical, and physical safeguards appropriate to the sensitivity of insurance-related information.
Your choices
You may request access to or correction of your information by contacting us at hello@maximaegis.com. Certain GLBA opt-out rights may apply to information shared with nonaffiliated third parties for marketing purposes; we do not share NPI for third-party marketing.
